VIP Chauffeurs Travel – Terms & Conditions

Welcome to VIP Chauffeurs Travel (“VIP Chauffeurs”, “we”, “our”, “us”). By making a booking or using our services, you agree to be legally bound by the following Terms & Conditions. Please read them carefully. If you do not agree, you must not use our services.
1. Bookings & Confirmation
1.1 All bookings must be made in advance via our website booking system, email, phone or WhatsApp text message.
1.2 Customers must provide accurate and complete information, including passenger numbers, pickup and drop-off locations, flight details (where applicable), dates, times, and any special requirements.
1.3 A booking is only confirmed once written confirmation has been issued by VIP Chauffeurs Travel via email , phone or WhatsApp text message confirmation.
1.4 VIP Chauffeurs Travel reserves the right to refuse or cancel bookings where information is inaccurate, incomplete, or misleading.
2. Pricing & Payment
2.1 All prices are quoted in GBP (£) unless stated otherwise.
2.2 Prices are based on the information provided at the time of booking and may change if:
Journey details are amended
Waiting time exceeds the included allowance
Additional stops or services are requested
Passenger or luggage capacity exceeds the booked vehicle category
2.3 New clients are required to make full payment in advance.
2.4 Corporate and regular clients may be offered invoicing facilities subject to approval.
2.5 Accepted payment methods include credit/debit cards, bank transfer, payment link, and cash (subject to approval).
3. Cancellation & Refund Policy
3.1 All cancellations must be submitted in writing.
3.2 Cancellations made more than 24 hours before the scheduled pickup time will incur a £20 administration fee, with the remaining balance refunded.
3.3 Cancellations made within 24 hours of the scheduled pickup time will be charged 100% of the booking value.
3.4 No-shows (failure to attend the pickup location without notice) will be charged 100% of the booking value.
3.5 No refunds will be issued if driver is late because of:
Traffic delays
Weather conditions
Passenger-caused delays
3.6 Approved refunds will be processed to the original payment method within 5–10 business days.
4. Vehicle Categories & Allocation
4.1 All bookings are made by vehicle category, not by specific make, model, year, or colour, unless confirmed in writing.
4.2 Vehicle images shown are illustrative only.
4.3 Luggage capacity is indicative and depends on passenger configuration.
Vehicle Categories include (but are not limited to):
Saloon
Large Vehicle
Executive Estate
Premium Saloon
8-Seater
Premium MPV
5. Right of Substitution
5.1 VIP Chauffeurs reserves the right to substitute a vehicle with one of equal or higher category where operationally necessary.
5.2 No refunds will be issued where a substitute vehicle of equal or higher category is provided.
6. Passenger & Luggage Responsibility
6.1 Passengers are responsible for selecting a vehicle suitable for their passenger count and luggage.
6.2 VIP Chauffeurs Travel may refuse service without refund if passenger or luggage capacity exceeds legal or safe limits.
6.3 Vehicle upgrades and additional charges may apply where required.
7. Waiting Time & Additional Charges
Standard Pickups
7.1 15 minutes of waiting time is included free of charge unless stated otherwise.
7.2 Waiting time beyond this allowance will be charged at an hourly rate based on the booked vehicle, ranging from £50–£100 per hour, charged pro-rata.
Airport Transfers
7.3 Airport pickups include 60 minutes free waiting time from the flight landing time.
7.4 Customers must provide accurate flight numbers. VIP Chauffeurs Travel is not responsible for delays caused by incorrect or missing flight information.
7.5 Waiting time beyond the included allowance will be charged at the applicable hourly rate.
8. Chauffeur Service Standard
8.1 All vehicles are:
Chauffeur-driven
Fully licensed and insured
Maintained to a high professional standard
8.2 Chauffeurs aim to provide a safe, discreet, and professional service.
8.3 Chauffeurs reserve the right to refuse service to any passenger who is intoxicated, abusive, unsafe, or acting unlawfully. No refunds will be issued in such cases.
9. Passenger Conduct, Damage & Cleaning
9.1 Passengers are responsible for their conduct during the journey.
9.2 Any soiling of the vehicle, including vomiting, spillages, food, drink, or bodily fluids, will incur a minimum cleaning charge of £100, with additional charges applied if required.
9.3 Passengers will be financially responsible for any damage caused to the vehicle or its contents. Repair or replacement costs will be charged accordingly.
10. Smoking, Vaping & Alcohol
10.1 Smoking and vaping are strictly prohibited in all vehicles.
10.2 Breach of this policy will result in:
A minimum £100 cleaning charge
- Possible immediate termination of service, without refund
10.3 Alcohol consumption is not permitted unless expressly agreed in writing prior to the journey.
10.4 Any spillage, damage, or misconduct will result in additional charges of minimum £100 cleaning charge.
11. Child Seats
11.1 Child seats are subject to availability and must be requested at the time of booking.
11.2 VIP Chauffeurs cannot guarantee availability of child seats unless confirmed in writing.
11.3 Parents or guardians are responsible for:
Confirming the correct type of child seat required
Ensuring the child seat is suitable for the child’s age, height, and weight
11.3 Additional charges may apply for child seat provision.
11.4 While we take reasonable care, passengers remain responsible for ensuring child seats are suitable and correctly fitted.
11.5 VIP Chauffeurs Travel accepts no liability for issues arising from child seat use unless required by law.
12. Events, Weddings & Hourly Hire
12.1 Event, wedding, and hourly bookings may be subject to:
Minimum booking hours
Standby charges
Extended waiting rates
12.2 Delays caused by customers may result in additional charges or early service termination if subsequent bookings are affected.
13. Corporate Accounts & Late Payments
13.1 Invoicing facilities are subject to approval.
13.2 Payment terms are 7–14 days unless otherwise agreed in writing.
13.3 Late payments may incur:
Statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998
Administrative and recovery costs
13.4 VIP Chauffeurs Travel reserves the right to suspend services for overdue accounts.
14. Personal Belongings
14.1 Passengers are responsible for their personal belongings.
14.2 VIP Chauffeurs accepts no liability for loss, theft, or damage to items left in vehicles.
14.3 Any property found in a vehicle will be recorded and retained for up to 30 days.
14.4 Customers may contact us to enquire about lost items. Proof of ownership may be required.
14.5 Collection or delivery of lost items may be subject to an administration or delivery charge.
14.6 Unclaimed items after 30 days may be disposed of or donated at our discretion.
15. Liability
15.1 VIP Chauffeurs Travel shall not be liable for delays or failure to perform services due to events beyond our reasonable control, including traffic, weather, road closures, accidents, or mechanical failure.
15.2 Nothing in these Terms & Conditions limits liability for death or personal injury caused by negligence.
15.3 Our total liability shall not exceed the value of the booking.
16. Force Majeure
16.1 VIP Chauffeurs shall not be liable for failure or delay caused by events beyond our control, including but not limited to acts of God, strikes, pandemics, government restrictions, or severe weather.
17. Complaints
17.1 Complaints must be submitted in writing within 7 days of service completion.
17.2 Complaints should include:
Booking reference
Date and time of service
Details of the issue

17.4 We aim to acknowledge complaints within 48 hours and respond within 14 business days.
17.5 Where appropriate, remedies may include partial refunds, service credits, or goodwill gestures.
18. Privacy & Data Protection
18.1 Personal data is processed in accordance with UK GDPR and the Data Protection Act 2018.
18.2 By using our services, you consent to data processing as outlined in our Privacy Policy.
19. Changes to Terms & Conditions
19.1 VIP Chauffeurs reserves the right to amend these Terms & Conditions at any time.
19.2 The latest version will always be available on our website. Continued use of services constitutes acceptance.
20. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
